Be concrete\n\nUse names, dates, numbers, owners, systems, and observable actions.\n\nWeak:\n\n> We should improve cross-functional alignment to streamline delivery.\n\nBetter:\n\n> Priya will send the revised API schema to the mobile team by Tuesday. The team will confirm the migration date by Thursday.\n\nPrefer language the reader can picture happening.\n\nReplace abstract nouns with actions when possible:\n\n* \"conduct an evaluation of\" becomes \"evaluate\"\n* \"make a determination\" becomes \"decide\"\n* \"provide assistance\" becomes \"help\"\n* \"perform an inspection\" becomes \"inspect\"\n\n## 6. Put actions in usable form\n\nFor requests, specify:\n\n* who should act\n* what they should do\n* when it is due\n* what completion looks like\n\nWeak:\n\n> Let me know your thoughts.\n\nBetter:\n\n> Please confirm the revised launch date by Thursday at 3 p.m.\n\nPrefer one main outcome per message. Several related actions may appear together when each one is explicit. Number them when order, ownership, or completion matters.\n\n## 7. Match the genre\n\nClarity does not require the same voice everywhere.\n\nFor documentation:\n\n* describe current behavior\n* explain how to use it\n* state constraints and failure conditions\n* include examples only when they remove ambiguity\n* avoid promotional language and personality\n\nFor workplace messages:\n\n* use the tone appropriate to the relationship\n* keep politeness brief\n* make the request easy to identify\n* avoid unnecessary formality\n\nFor essays and personal writing:\n\n* preserve genuine opinions, uncertainty, humor, and irregularities\n* do not manufacture quirks to appear human\n* do not add tangents, fragments, or fake self-corrections unless they belong to the author's voice\n\nMatch the genre before matching stylistic mannerisms.\n\n## 8. Control metadiscourse\n\nMetadiscourse tells the reader how to interpret the writing rather than giving them the information.\n\nCommon forms:\n\n* \"This means...\"\n* \"That distinction...\"\n* \"In other words...\"\n* \"It is worth noting...\"\n* \"The key point...\"\n* \"As we can see...\"\n* \"Let us explore...\"\n* \"Now let us look at...\"\n\nUse these only when they resolve a real structural ambiguity. Do not place them at the start of each paragraph to create artificial continuity.\n\nDo not open by announcing how many points will follow when the count adds no information.\n\nWeak:\n\n> Three things to know. Use direct subjects and verbs\n\nName the actor when responsibility matters.\n\nWeak:\n\n> The request was reviewed and a decision was made.\n\nBetter:\n\n> The security team reviewed the request and rejected it.\n\nPassive voice is acceptable when the actor is unknown, irrelevant, already understood, or less important than the process.\n\nAcceptable:\n\n> Tokens are deleted after 30 days.\n\nThe problem is unclear responsibility, not passive grammar itself.\n\nSystems and tools may be the subject when the verb describes observable behavior.\n\nAcceptable:\n\n> The API returns JSON.\n\nDo not give software human intentions, beliefs, or desires unless that description is literally accurate.\n\nWeak:\n\n> The platform wants to guide users through setup.\n\nBetter:\n\n> The onboarding flow shows each setup step in order.\n\n## 16. Avoid vague authority\n\nDo not write:\n\n* \"Experts say...\"\n* \"Observers have noted...\"\n* \"Industry reports suggest...\"\n* \"Critics argue...\"\n* \"Research shows...\"\n\nName the source and state the finding.\n\nBetter:\n\n> In its 2025 survey of 640 developers, Stack Overflow found that 42 percent checked AI-generated code less carefully when working under deadline pressure.\n\nWhen no reliable source exists, remove the claim or state the uncertainty plainly.\n\n## 19.
